Office Assistant – What You’ll Do

Accounts Department Assistance

  • Organise and maintain financial records, accurately inputting data.
  • Assist with invoice processing and expense tracking.
  • Liaise with vendors and suppliers to resolve any invoicing or payment issues.
  • Reconcile bank statements and daily till receipts with the dealer management system.
  • Handle internal and external queries, via telephone and direct contact.

Supporting the Managing Director

  • Coordinate meetings and assist with administrative tasks.
  • Handle confidential information with discretion.
  • Prepare reports.

HR Department Support

  • Maintain employee records (both soft and hard copies).
  • Update HR databases (e.g., new hires, etc.)
  • Assist with recruitment activities, post job adverts, and manage incoming applications.

General Office Duties

  • Promptly process and distribute incoming post (external and internal).
  • Assist with Health & Safety procedures and risk assessments.
  • Provide administrative support, including filing, data entry, and managing financial documents.

Laguna Motorcycles is the largest motorcycle dealer store in the South-East of England.  We are seeking a dedicated Office Assistant to join our team and provide essential support to our Managing Director, HR Department, and Accounts Department.

 

Office Assistant – What You’ll Do

Accounts Department Assistance

Office Assistant – We're Looking For

  • Good working knowledge of Microsoft Office Suite – Outlook, Word, Excel, SharePoint, and internal systems.
  • Good level of English, both written and spoken.
  • Proven experience as an office assistant or in a similar administrative role (desirable).
  • Professional communication skills both written and verbal.
  • Someone who is resilient, tenacious and confident in chasing payments and negotiating prices with vendors and suppliers.
  • Strong organisational and time management skills with the ability to prioritise tasks effectively.
  • Excellent attention to detail.
  • Ability to work independently and collaboratively.
  • Experience of cash-handling and the ability to handle confidential information is essential.
  • Experience of working with accounts would be an advantage.
  • Educated to at least GCSE standard (or equivalent), including Maths and English.
